1. Agreeing to these terms
These terms are an agreement between you and TAMM Ventures LLC, of 1098 Ann Arbor Rd W Suite 586 Plymouth, MI 48170, USA (“Pylot”, “we”, “us”). By creating an account, signing in, or using the service, you agree to them. If you do not agree, do not use Pylot.
If you are using Pylot through an organization — your employer, or whoever invited you — you are agreeing to these terms on your own behalf and confirming you have that organization's authority to use it. Where that organization has a separate written agreement with us, that agreement governs and these terms fill the gaps in it.
Our Privacy Policy describes what we do with personal data and forms part of this agreement.
2. What Pylot is
Pylot connects meetings, action items and goals. It reads your calendar so it knows about your meetings, lets you write agendas and documents collaboratively, tracks action items and quarterly goals, and — where a meeting has been recorded with consent — produces a transcript, a summary and a set of proposed action items for a person to review.
We are still building it. Features change, and some may be removed. We will not remove something people depend on without saying so, but nothing here is a commitment that a particular feature will exist forever.
3. Eligibility and your account
- You must be at least 16 years old, and old enough to enter a contract where you live.
- Accounts are for a person, not a role. Do not share your credentials, and tell us promptly at privacy@pylotapp.com if you think someone else has them.
- Keep your account information accurate. You are responsible for what happens under your account.
- An organization's owners and administrators decide who may join it, what roles people hold, and whether recording is available at all. They can deactivate an account, which ends that person's access.
4. Acceptable use
You agree not to:
- Use Pylot to break the law, or to help anyone else do so.
- Upload or store content you have no right to, including anything that infringes someone else's intellectual property or privacy.
- Upload malware, or attempt to probe, scan, overload or circumvent any part of the service or its access controls — including anything designed to reach another organization's data.
- Reverse engineer, decompile or attempt to derive the source of the service, except where the law says you may despite this clause.
- Resell, sublicense or provide the service to anyone outside your organization without our written agreement.
- Use the service to harass anyone, or to record people in a way that breaks section 8.
We may suspend or terminate access that breaks these rules. Where a suspension is urgent we may act first and explain afterwards; otherwise we will tell you what the problem is and give you a chance to fix it.
5. Your content
You own your content. Agendas, documents, articles, action items, goals, comments, files you upload, and the recordings and transcripts of your meetings remain yours, or your organization's, as between you and us. We claim no ownership of any of it.
To operate the service, we need your permission to handle that content. You grant us a worldwide, non-exclusive, royalty-free licence to host, store, copy, transmit, display and process your content, and to make derivative works of it, solely to the extent necessary to provide the service to you and to those you share it with. That includes passing it to the sub-processors named in the Privacy Policy, backing it up, indexing it so you can search it, and sending it to our AI provider to produce the summaries and proposals you asked for.
The licence exists for no other purpose. It does not permit us to use your content to market to you or to anyone else, to disclose it outside what the Privacy Policy describes, or to train machine learning models. It ends when the content is deleted, other than for copies held in routine backups until those are overwritten.
You are responsible for your content being lawful and for having the rights to it. We do not review it, and we are not responsible for it.
6. Our intellectual property
The service itself — the software, the design, the name and the marks — is ours and stays ours. These terms grant you a limited, revocable, non-transferable right to use Pylot while this agreement is in force, and nothing more. Feedback you send us we may use freely and without obligation.
7. Third-party services
Pylot depends on services operated by other companies, and their terms apply to their part of what happens:
- Google. Sign-in and calendar access are provided by Google and governed by your agreement with them. You grant Pylot access when you consent at Google's screen, and you can revoke it at any time from your Google Account's security settings.
- Recall.ai. Our recording bot joins calls and produces transcripts.
- Anthropic. Summaries and proposed action items are produced by Anthropic's Claude models.
We choose these providers carefully and hold them to terms that protect your data, but we do not control them. An outage, a change or a failure at one of them may affect the service, and we are not liable for what a third-party service does on its own.
8. Recording and consent
Pylot can record and transcribe meetings, and it will not do so unless two separate decisions have been taken: your organization has turned recording on, and the meeting itself is consented. Every consent decision is recorded — which policy applied, who decided, and when — and the notetaker bot appears in the participant list under a name that says what it is.
Those are product controls, not legal advice, and they are not a substitute for the consent the law may require. Recording a conversation is regulated differently in different places: some require every participant to consent, some require only one, and some add notice requirements on top. You — and the organization whose account you are using — are solely responsible for obtaining whatever consent and giving whatever notice the law requires of everyone on a call before it is recorded, and for complying with any recording policy your own employer has.
You agree not to use Pylot to record a meeting where doing so would be unlawful, and to stop recording anyone who asks not to be recorded. You are responsible for telling external attendees that a meeting is being recorded. We may refuse or stop a recording where we believe this section is being broken.
You will indemnify us as set out in section 14 for claims arising from a recording made through your account without the consent the law required.
9. AI features
Summaries, and the action items Pylot proposes from a transcript, are produced by a language model. They are assistive, and they are not always right. A transcript can mishear a word, mislabel a speaker or lose a passage entirely, and a summary built on it can be wrong in ways that read perfectly well.
The product is built on that assumption. An action item the model proposes is nobody's work until a person confirms it — it is not counted, not assigned to anyone and generates no notification, however confident the extraction was, and editing a proposal does not confirm it. You are responsible for reviewing what the model produced before relying on it.
We make no warranty that any summary, transcript, extraction or suggestion is accurate, complete or fit for any purpose, and none of it is legal, financial, medical or professional advice. Do not use Pylot's output as the record of a decision that needs to be exact without checking it against the meeting.
10. Availability
We aim to keep Pylot running and to fix what breaks, but we do not promise it will be available without interruption or free of faults. We may take it down for maintenance, and we may change or discontinue features. There is currently no service level agreement; if we offer one, it will be a separate written commitment.
11. Fees
Pylot does not charge for the service today, and there is no billing in the product. We may introduce paid plans in future. If we do, we will publish the prices and the terms that go with them, and you will not be charged for anything without agreeing to it first. Nothing in this section is a promise that the service will remain free.
12. Disclaimers
The service is provided “as is” and “as available”. To the fullest extent the law allows, we disclaim all warranties, whether express, implied or statutory, including the implied warranties of merchantability, fitness for a particular purpose, title and non-infringement, and any warranty arising from a course of dealing or usage of trade. We do not warrant that the service will meet your requirements, that it will be uninterrupted or error-free, or that any content, transcript or summary will be accurate.
Some jurisdictions do not allow the exclusion of certain warranties. Where that is so, the exclusions above apply to you only to the extent permitted.
13. Limitation of liability
To the fullest extent the law allows, neither we nor our suppliers will be liable for any indirect, incidental, special, consequential, exemplary or punitive damages, or for any loss of profits, revenue, goodwill, business or data, however caused and on any theory of liability, even if we have been told such damages were possible.
To the fullest extent the law allows, our total liability arising out of or relating to this agreement or the service will not exceed the greater of the amount you paid us for the service in the twelve months before the event giving rise to the claim, or one hundred United States dollars (US$100).
Nothing in this agreement excludes or limits liability for fraud, for death or personal injury caused by negligence, or for anything else that cannot lawfully be excluded or limited. Some jurisdictions do not allow certain limitations; where that is so, these limits apply to you only to the extent permitted.
14. Indemnification
You will defend, indemnify and hold harmless TAMM Ventures LLC and its officers, employees and agents from any claim, demand, loss, liability or expense (including reasonable legal fees) arising out of your content, your use of the service, your breach of these terms, your breach of any law or the rights of anyone else, or a recording made through your account without the consent the law required. We will tell you promptly about any such claim and let you control its defence, and you will not settle anything that admits fault on our part without our agreement.
15. Term and termination
- You may stop at any time. Ask us to close your account, or ask your organization's administrator to deactivate it.
- We may suspend or terminate your access if you break these terms, if we are required to by law, or if continuing would create a risk to other people using the service. Where the circumstances allow, we will tell you first.
- We may discontinue the service altogether, in which case we will give reasonable notice and a reasonable opportunity to export your content.
- On termination your right to use Pylot ends. Your content is handled as the Privacy Policy describes. Sections 5 (as to the ownership of your content), 6, 12, 13, 14, 16 and 17 survive.
16. Governing law and disputes
This agreement is governed by the laws of the State of Michigan, United States, without regard to its conflict of laws rules. You and we agree to the exclusive jurisdiction of the state and federal courts located in Michigan for any dispute arising out of it, and each of us waives any objection to that venue.
If you are a consumer resident in the European Union or the United Kingdom, nothing here deprives you of the protection of the mandatory laws of the country you live in, or of the right to bring proceedings there.
Before filing anything, please write to privacy@pylotapp.com. Most disputes are a misunderstanding, and we would rather fix it.
17. The rest
- Entire agreement. These terms and the Privacy Policy are the whole agreement between us about the service, and replace anything said beforehand.
- Severability. If a provision is held unenforceable, the rest stays in force and that provision is narrowed to what is enforceable.
- No waiver. Not enforcing something once does not waive it.
- Assignment. You may not assign this agreement without our written consent. We may assign it to a successor in a merger, acquisition or sale of assets.
- Force majeure. Neither of us is liable for a failure caused by something genuinely outside our control.
- No agency. Nothing here creates a partnership, joint venture, employment or agency relationship.
18. Changes to these terms
We may update these terms. The effective date at the top will move, and where a change is material we will tell account holders by email before it takes effect. Continuing to use Pylot after that means you accept the new terms; if you do not, stop using the service and ask us to close your account.
